1. Migration Inputs

It all starts with understanding about your current email system, where we ask a few questions like which Rackspace plan you use, where is your DNS hosted etc. You can learn more our migration requirements here.

2. Advance Payment

We ask 50% advance to assign our expert migration resources and premium tools to your project.We use Paypal so you can pay by using any of your major credit card.

3. Project Organization

Once we have all required information, we enter it in our Google Sheet based project management tool to share with you (we bet, you can easily manage projects in Google Sheets).

You can easily track progress of your migration on this Google Sheet. Our team keeps it updated every couple of hours.

4. Google Workspace Setup

We start setting up Google Workspace for you following Google’s best recommended practices including domain verification, SPF record creation, DKIM setup, creating users, aliases, groups and resource calendar.

Our setup also includes configuring all Google recommended security settings.

5. Migration Setup

We start the magic of making connections between Rackspace and Google Workspace email servers, fix issues (if any).

At this time, we are ready to programmatically fetch data from Rackspace email servers and ingest that into your Google Workspace users mailbox.

6. Base Migration

We do migration in two phases (1) Base Migration and (2) Delta Migration, and let us tell you why.

If you take any action on the email in Rackspace mailbox (e.g moving it to a folder) after we migrated it, migration utilities would not catch it.

To avoid this, we migrate emails starting From 01-01-1990 TO 30 days older than today in the first (Base) migration, last 30 days email in second (Delta) migration which we perform on weekend after changing your email routing.

7. Final Payment

At this time we complete around 75% of the your Rackspace to Google Workspace Migration project and ask for final 50% payment.

8. Email Routing

Now as your base migration has been completed, we make the changes in your DNS to switch your domain’s email routing to Google Workspace and within a short period of time all new emails will start coming to your Google Workspace mailboxes.

If you are a geek, this is called Mail Exchanger Routing or MX Routing.

9. Delta Migration

Its weekend and now is the time to migrate last 30 days of emails, also your contacts and calendar events.

It doesn’t take us more than couple of hours to migrate last 30 days of emails, and all contacts and calendar.

10. Your Review

You get an email “Your data migration is completed”, please login in to your mailbox and confirm if things look perfect.

Mostly, there would not be any issues as we do this everyday, but worst case if there are any, don’t worry we know stuff well (very well) and can fix it in no time.

What do you mean by piece of mind migration?

How do you migrate in just a weekend?

We use premium migration utilities to migrate your data which means migrating at blazing fast speed.

For users with mailbox size of less than 5 GB, we usually migrate them fully within a weekend, so they see all data in their Google Workspace mailbox when they login on Monday morning.

For your email superman users with mailbox size of more than 5 GB, our smart migration utility migrates data from latest to oldest. So when they login to their Google Workspace mailbox on Monday morning, they will have at least last couple of years of email.

Rest of their emails will keep on migrating behind the scenes, so you are kinda all set (unless you are really lagging behind and want to reply to that 6 year old email:).

Can't we do this by our own?

Nothing is impossible.

Will we lose emails during migration?

Thats not why you hired us, right?

Well, obviously there are some limitations where Gmail will reject to accept emails, think of cases where someone is trying to migrate an email with virus, or an email with an attachment larger than 50 MB (Gmail’s limit is 50 MB).

But other than these fair reasons, all your emails would go right into your Gmail just like cream cheese in a plain (toasted) bagel.
